Wedding Transport in Delhi NCR
Baraat cars · Guest shuttles · Venue transfers · Airport runs
Delhi NCR weddings are a logistics puzzle disguised as a celebration. The mehendi is at a Gurugram farmhouse 40 km from the hotel; the sangeet is at ITC Maurya in Diplomatic Enclave; the pheras happen at a farmhouse in Westend Greens or Chattarpur; and a sizeable portion of the guest list flies into IGI across three terminals spread over 15 km. Add Delhi traffic after 17:00, the NH-48 slowdowns on Friday evenings, and the Yamuna Expressway option for Agra-side families, and you end up needing a single transport operator who can actually read the NCR road network — not one vendor for Delhi and another for Gurugram.
The NCR geography problem
Most NCR weddings straddle three zones. Central Delhi — Diplomatic Enclave (Maurya, Leela Palace Chanakyapuri), Aerocity (JW, Pullman, Roseate) and Lutyens (Imperial, Taj Mansingh). Gurugram — Oberoi, Leela Ambience, Trident and the farmhouse belts along MG Road, Sohna Road and Gwal Pahari. And the Chattarpur / Westend Greens farmhouse cluster in South Delhi, which is technically in Delhi but closer to Gurugram by road. A competent NCR transport plan assigns vehicles by zone so the family sedan is not crossing Delhi twice in one function. We zone-assign drivers, keep standby vehicles in each of the three clusters, and use WhatsApp live-location for the pheras-day couple movement so the family always knows where the couple's car is.
IGI Airport — three terminals, one wedding
Indira Gandhi International (DEL) has three terminals with meaningful operational differences. T3 handles international and premium domestic; T1 handles IndiGo and Spicejet domestic; T2 handles overflow. A wedding guest list typically spans all three. We stage Innovas and sedans with planner-issued signage boards at each arrivals gate, use the inter-terminal road (not the metro) for quick consolidation, and drop at the correct hotel cluster — IGI to Gurugram is 25–40 minutes depending on the expressway ramp, IGI to central Delhi is 40–60 minutes, and IGI to Chattarpur via the outer ring is a consistent 45 minutes.
Fleet deployment and baraat options
A 400-guest NCR wedding usually runs on 20–28 vehicles across the peak day: 12–16 Innova Crysta SUVs for guest groups and VIP airport runs, 4–6 sedans (Dzire, Camry) for family and couple, 3–5 tempo travellers for shuttles, 2–3 mini-coaches (32- or 49-seat) for out-of-cluster transfers. For the baraat we run Delhi's wider venue-entry lanes with larger decorated options — a vintage Bentley or Rolls Royce (subject to availability), a classic Ambassador, a flower-decorated Mercedes S-Class, or an open-top vintage Jeep. The pheras-day couple typically uses a Mercedes E-Class or S-Class with the same dedicated driver across functions; Fortuner or Land Cruiser if the family prefers an SUV silhouette.
Traffic, timing and the Delhi rush-hour reality
Delhi weather and traffic are both unforgiving. December fog on NH-48 can push morning arrivals by an hour; June heat makes afternoon hotel-forecourt waits uncomfortable. Our operations desk tracks live traffic and reroutes the pheras-day couple's car if the Ring Road is stuck. For the post-pheras departures that often run past 01:00, we keep drivers on a paid-overtime structure so there is no end-of-shift pressure and every guest gets home cleanly. For Monday morning departures — a classic NCR wedding failure mode — we over-provision because IGI Monday traffic is always 20 minutes worse than the family's memory suggests.
Invoicing, compliance and multi-state vehicles
NCR weddings often need vehicles crossing Delhi, Haryana, Uttar Pradesh and sometimes Rajasthan in a single week. Our vehicles are permitted for multi-state operation with e-way bills raised at our cost for each inter-state leg. GST invoices are raised in the billing entity of your choice. For corporate billing — common when a family business funds the wedding — we can invoice a private limited entity or LLP and deliver documentation that stands up to audit.

Frequently asked questions
How do you handle guests arriving across T1, T2 and T3 on the same day?
Separate staging teams at each terminal, all coordinated from a central operations desk. Signage boards carry the planner's branding so guests recognise them; a terminal lead walks unfamiliar guests from the gate to the vehicle. For families who prefer premium meet-and-assist, we coordinate with the airport lounge service and arrange a porter at arrivals.
Can you handle a Gurugram farmhouse wedding where all our guests are in central Delhi?
Yes, and this is our most common NCR brief. The pattern: stage tempo travellers at the central Delhi hotels 2 hours before muhurat, shuttle in two waves, keep an Innova backup at the hotel for late-arriving guests, run the return shuttles starting 30 minutes after pheras. NH-48 on a Friday evening to Gurugram is the bottleneck — we sometimes use the Dwarka Expressway as an alternative if traffic signals a slowdown.
Are vintage baraat cars available? How far ahead do we need to book?
Vintage cars (Bentley, Rolls Royce, classic Ambassador, vintage Mercedes) are available in NCR but inventory is tight, especially during November–February and April–May wedding seasons. Lock the choice 8–10 weeks ahead. For open-top options we also offer a restored vintage Jeep or a Mercedes S-Class cabriolet where the family's brief calls for something photogenic.
Our wedding spans a farmhouse function at Chattarpur and a Manesar ITC Grand Bharat sangeet — can one operator handle both?
Yes — that geographic spread is typical and our driver pool is structured for it. We assign a Gurugram-based fleet to the Manesar sangeet and a Delhi-based fleet to the Chattarpur functions, with a shared operations desk coordinating. You get one invoice, one planner-facing POC, and continuity of chauffeurs per vehicle.
Can we get GST invoice in a private limited company's name?
Yes — common practice for family-business-funded weddings. We can invoice a private limited company, LLP, partnership firm or individual; 5% or 12% GST applies depending on vehicle category. Documentation includes trip sheets, driver identification and e-way bills for inter-state movement.
